The Health Coordinator Process

Step 1 – Inquiry and assigning a coordinator

Every time somebody reaches out to Health Tours Thailand for assistance with medical, dental or elective care, a senior, english speaking healthcare coordinator is assigned to their case. This coordinator works in-between you and the Thai healthcare institutions with the primary channels being Whatsapp for expedited communication (phone calls and email communication are also available).

Step 2 – Initial Coordination

Our goal in every interaction is simple: to help our customers receive the care they need from the most suitable doctor and hospital, while also matching their accommodation and overall plan to their budget. To make this possible, the coordinator will request relevant medical or dental records and share them with Health Tours Thailand’s partner hospitals, so that the qualified doctors and medical teams can conduct an initial assessments. From there, physicians may have follow-up questions about the patient’s condition, and in some cases additional tests or medical records may be requested. Through our relationships with the hospitals and with the help of the coordinator, we streamline and accelerate communication between overseas patients and medical teams in Thailand – Discussions that might otherwise take days or weeks through back-and-forth emails can often be handled within minutes through our direct channels with the appropriate counterparts. It is also during this stage, coordinators will provide initial cost estimates from multiple hospitals, along with treatment plans and proposals. Furthemore, in order to help the decision process, the coordinator might organize an online telemedical video call (zoom or whatsapp call) with the doctor to speak, review options, ask questions, and get a feel for everything (prior to arrival).

This allows our customers to review multiple treatment perspectives, helping them choose the best doctor and hospital while also ensuring a high level of confidence and comfort in their decision. In some cases, patients already have a preferred hospital or doctor, and we are happy to facilitate arrangements with those providers as well**

Step 3 – Choosing the provider and finalizing a trip.

With all options, costings, treatment plans, doctors and hospitals on the table, making the decision for care is next. Our coordinators will confirm with the patients and move to next steps including registering patients with hospital numbers (pre-arrival), booking appointments, scheduling hospital translators (if necessary) and organizing visas & visa invitation letters (if necessary).

It is at this stage the planning itineraries are often done as visitors require multiple areas of care covering medical, dental, wellness and elective categories, with complex requirements and time frames.  Our coordinators will work with you as needed to map out each day you have in Thailand with the precise details to ensure the trip is convenient and effective. During this phase it is common that they will advise on hotels (staying at a hotel located near the hospital of treatment is often recommended), arrange car services and airport transfers, and potential book leisure activities – (In between or after treatment)

Step 4 – Arrival & Starting Treatment

On the first day of treatment, the medical coordinator meets patients in person and accompanies them to their scheduled appointments – The coordinators help guide patients through hospital procedures, finding the right buildings, getting to the appointments on time, translating if needed and more. Beyond logistics, Health Tours Thailand coordinators often develop meaningful relationships with the patients they assist. Medical journeys can last several days or even weeks, and coordinators frequently spend time answering questions, providing advice, and helping patients feel comfortable in a new environment. As patients return for follow-up treatments during their stay, our coordinators continue to be present as requested – Should any unexpected situation arise, they act as an accessible emergency contact (English speaking) to ensure patients receive assistance quickly and effectively (something valuable in a foreign country granting peace of mind). Their presence can also help smooth the administrative process at hospitals and clinics. Step 5 – Post Care and Follow Up
